A guide to attendance and active participation

Board of directors’ meetings play a crucial role in the management of your community. Jasper Community Association (JCA) board meetings provide an opportunity for residents to gain a better understanding of decisions made by the board and learn first-hand about updates to community property. 

Keep reading to learn about participation guidelines on how to participate and what you can expect during the virtual meetings.

Why should I attend?

Attending JCA board meetings keeps you informed of decisions made by the board that directly impact your property, common areas, and lifestyle communities in the community. When you attend, you can share your feedback on such decisions, ask questions and offer suggestions. Your input is a valuable influence on the board’s decisions and policies.

Additionally, your participation allows you to connect with board members and neighbors, helps build a sense of community, and creates a partnership that adds value to Jasper.

Make the effort to attend and be an active participant in board meetings — it’s your community, and your voice matters.

Get meeting details

The quarterly meeting schedule can be found on the Jasper resident website event calendar. Watch your inbox ahead of the meeting date for the meeting agenda, form to submit a question, and a link to register.

Currently, JCA meetings are held virtually on Zoom. After you register using the link in your inbox, you’ll receive an email with your unique meeting link to use when the meeting begins.

Tip: It’s a good idea to download Zoom to your computer or other device ahead of the meeting. To avoid technical glitches during the meeting, test your internet, microphone and camera.

Submit your question

If you have a question for the JCA board that is governance related, you can submit it prior to the meeting using our online form. Submitting your question ahead of time allows the board to review and address (provided it is governance related) the question and will help keep the meeting moving along as scheduled.

We’ll send a reminder to submit your question and link to the online form to your inbox in a Community Life email ahead of the meeting date.

The board allows time for an open forum exchange, or “call to members”, prior to adjourning the meeting. Follow these steps to comment:

  1. Use the chat feature in Zoom to raise your hand.
  2. Once called upon, unmute to ask your question.

What should I expect?

Once the meeting is called to order, you can typically expect to hear the treasurer’s report, community management report, and any new business, all of which can be found on the meeting agenda. Next, the community manager will address any questions that were submitted before the meeting. Prior to adjournment, a call to members will open the floor for additional questions and comments.

As a participant, you’ll be able to see the presentation slides. We ask that participants remain muted to keep noise distractions to a minimum and unmute only when you are asking a question.
